This activity helps to identify and categorize the WIP and Planned Projects. The WIP Lead must understand the scope of projects by reading the contract and other relevant documents that were made available during Sales Handover.

Description

The main focus of this activity is to identify all WIP projects and those projects that are planned to start during the transition period.

 

All WIP and planned projects are identified and listed together with the expected go-live dates, those that should go-live during transition and those that must go-live after transition. Setting up the organization and processes and procedures for on-going project work is the responsibility of the Service Delivery Processes and the Service Engagement Initiation streams. The WIP Lead must work closely with those streams.

 

The WIP and planned projects may have been identified as part of a due diligence exercise or be stated in the contract. Depending on the elapsed time between due diligence and the start of transition, the information may need to be re-verified to ensure that it is up to date and accurate.

 

Typically due diligence must have identified any projects that might impact transition and this should be verified by this stream. In addition, any cross project dependencies and which projects may be dependent on transition need to be understood.

 

As the identification, agreement of scope and monitoring of projects can be time consuming, the WIP Lead must consider the commercials of the deal and the level of detail that needs to be considered together with how to keep the information up to date on projects initiated or planned throughout the transition period.

 

For example if the projects are all Time and Material, and all Project Managers and team members are transferring to Capgemini, what needs to be presented back and agreed – both internally and with the Client? What if Capgemini needs to agree on a fixed price engagement where no staff is transferred? What would be the impact on Run?

 

The WIP Lead must ensure they have the correct contractual definition, e.g. what is the cut-off point that turns a service request or enhancement into a project?

 

Projects must be categorized according to who is to complete and when they go live. If this is service integration, multi supplier or Client shared model, the work should be further categorized into towers and/or by individual service provider.
